# QR Codes

QR code features are available on both Web and Mobile. They let you physically label items, locations, or equipment in the field and link those labels directly to Codifi Records — so anyone with the app can scan a code and immediately access the right data.

## Scanning QR Codes (Mobile)

Use the search function to scan a QR code and navigate directly to the associated Record.

1. Open the **Search** function and select the **Search by QR** option.
2. Point your camera at the QR code to scan it.
3. If a Record is associated with that QR code, you are taken directly to it.
4. If multiple Records are associated, all matches are displayed.
5. If no Record matches, you will be notified.

## Associating QR Codes (Mobile)

You can link any external QR code — printed labels, stickers on equipment, tags on sample bags — to an existing Record in Codifi.

1. Open an existing Record.
2. Select the option to **Link an External QR Code**.
3. Scan the external QR code to associate it with the Record.
4. From that point on, scanning that QR code takes you directly to that Record.

This is useful when you already have physical QR labels in the field and want to connect them to your digital Records without creating new codes.

## Batch Pre-Registration with QR Codes

Batch pre-registration is designed for teams that need to **prepare work before going to the field** — especially when field crews will be working **offline** without reliable connectivity.

### How It Works

1. **Office staff create Records in bulk** with QR code associations before fieldwork begins. Each Record is linked to a specific QR code.
2. **Print and distribute QR labels** — attach them to sample bags, stakes, equipment, or any physical item the field team will encounter.
3. **Pre-registered Records stay hidden** from the Record list on mobile devices. Field workers don't see a long list of unstarted work — their view stays clean.
4. **In the field, workers scan a QR code** to reveal the Record and begin working on it. This works entirely **offline** — no internet connection is needed to scan and access a pre-registered Record.
5. **Data syncs automatically** when connectivity is restored.

### Why This Matters for Offline Teams

In many field environments — remote sites, underground, dense canopy — reliable internet is not available. Batch pre-registration ensures that:

* **Records are ready before the team leaves the office.** No one needs to manually create Records on-site.
* **Each team member only sees their assigned work.** Scanning a QR code reveals just that Record, keeping the interface focused.
* **Work happens offline with full confidence.** Records, their hierarchy, and all associated template configuration are already on the device — the QR scan simply activates them.
* **Multiple teams can work the same Project simultaneously.** Different crews scan different QR codes, working on separate Records without conflicts.

### Example Workflow

> A project manager creates 200 survey point Records in the office, each linked to a QR code printed on a stake label. Three field crews head to different areas of the site with no cell service. Each crew scans the stakes they encounter — the corresponding Record appears on their device, ready for data entry. At the end of the day, everyone syncs when back at the office.

## QR Codes on Web

### Viewing a Record's QR Code

Open any Record to see its QR code in the drawer panel. The QR code encodes the Record's ID and can be scanned from any mobile device running Codifi.

### Batch Exporting QR Codes as PDF

1. Select multiple Records in the grid using the multi-select checkboxes.
2. Use the **Export QR Codes** action to generate a printable PDF with all selected QR codes.
3. Print and cut the labels for field distribution.

### Filtering by QR Code Association

Use the **Only QR Code Based** filter in the Records grid view selector to show only Records that have an associated QR code. This helps you quickly find which Records are QR-enabled.

### Batch Actions

With multiple Records selected in the grid, you can perform bulk operations:

* **Export QR Codes** as a printable PDF
* **Change Status** across selected Records
* **Change Assignee** to reassign work
* **Archive** or **Delete** Records in bulk
